With multi-currency you can issue sales, quotations and purchases in a currency other than your country’s, using the current exchange rate or your own. Your accounting, your reports and your accounts receivable and payable remain in a single currency: the base currency.

How it works

Stored amounts and all reports (sales, purchases, inventory, accounting, BI) are expressed in the base currency. The foreign currency is kept as the document’s reference: the total in that currency and the rate used.

Activate currencies and record rates

Only administrators can modify currencies and rates; other users can view them.
1

Go to the home screen (/start)

This is the screen where you choose company and branch.
2

Open the company's Special Settings

Click the gear icon next to the company.
3

Go to the Advanced settings tab

The Base currency and the Available currencies table are shown, with their codes, names, symbols and decimals.
4

Activate the currencies you will use

Turn on the switch for each foreign currency.
5

Record the exchange rate

In Exchange rates, choose the currency and click Add rate. Enter the effective date (it cannot be in the future) and the rate (greater than 0).
Each rate in the history can be edited or deleted. If you activate a currency that has no current rate, a notice tells you so and you will not be able to use it in documents until you record one. There can only be one rate per currency per day.

Issue a foreign-currency document

If your company has at least one active foreign currency, the New Sale, Point of Sale (POS), New quotation and New purchase forms show the Document currency selector.
1

Choose the currency

The base currency is selected by default. When you choose another one, the system looks up the current rate at the document’s date.
2

Review or change the rate

You can enter a custom rate just for that document. The Use system rate button goes back to the recorded rate. If there is no rate for that currency, a notice asks you to enter it manually or record it in Advanced settings.
3

Enter the amounts in that currency

In New Sale, New quotation and New purchase, prices and amounts are entered in the chosen currency. In the POS, catalog prices are automatically converted to that currency. The selector shows the Total in the chosen currency and its Equivalent in the base currency.
4

Save

The system converts the amounts to the base currency before calculating taxes and issuing.
The electronic tax document (DTE) is always issued in the country’s legal currency. The foreign currency remains as an internal reference of the document. That is why the selector reminds you of this when the document is transmitted.

What you should know

  • In the POS, the currency is locked as soon as the first payment is added to the charge.
  • In a quotation, amounts stay in the quotation’s currency; when it is converted into a sale, its currency and rate are kept.
  • Payments are converted with the document’s rate. There is no different rate per collection, nor exchange gain or loss.
  • When editing an issued sale, you cannot change the currency or the rate; amounts are shown as stored, in base currency.
  • Sale drafts keep the amounts in the document’s currency and the already resolved rate.

Accounts receivable and payable

Accounts receivable and Accounts payable keep balances in the base currency, and also show the document amount in its currency when it was issued in a foreign currency: in the rows, when recording a payment and in the payment history. Total cards, summaries and PDF/Excel reports remain in the base currency.

Availability

Multi-currency is a feature enabled per business (multi_currency flag). If it is off, the tab shows that currency management is not enabled, the selector does not appear and documents are issued in the base currency.
Integrations can also issue in a foreign currency with the external API v2. See Integrations.
