The attendance module records each employee’s clock-in and clock-out time per day. This information is used when generating payroll to suggest deductions for absences and overtime pay.

Record attendance manually

1

Go to Human Resources → Attendance → New Record

2

Select the employee and the date

3

Enter the clock-in time and clock-out time

If the shift ends after midnight (for example, in at 22:00 and out at 06:00), check Clock-out next day.
4

Add notes (optional) and save

There can be only one record per employee per day; the date is the one on which the shift started. The table shows the hours worked and, on the clock-out time, the +1 day label when the clock-out is on the following day.
If the clock-out is earlier than the clock-in and you do not check Clock-out next day, the record is rejected to avoid incorrectly entered shifts.

Day status

The Status column shows the day’s result against the employee’s schedule: Met, Late, Left early, Incomplete, Worked on a holiday, No schedule, etc. Hover over the label to see the minutes of lateness or early departure. The full detail and the classified hours are in Schedule compliance.

Import from Excel

To load attendance for many employees (for example, the report from a time clock):
1

Click Import

2

Download the template

3

Fill in one record per employee per day, and upload the file

4

Review the preview

Each row shows whether it will be created or updated and the errors found (employee not found, invalid date or time, clock-out before clock-in without indicating Next Day Clock-out, duplicate rows).
5

Confirm the import

Only valid rows are imported. At the end a summary of created, updated, and failed rows is shown.
If a record already exists for the employee on that date, it is updated instead of duplicated. You can upload a corrected file again without generating duplicates.
Inactive employees only accept attendance up to their end date (completed final settlement), so you can load late clock-ins from their last period. After that date the clock-in is rejected, also in the import and in the API.

Integration with biometric clocks

Biometric clocks and time-tracking apps can send attendance automatically through the External API (Attendance permission in Integrations).

Use in payroll

When generating a payroll, the Review attendance button analyzes the period and suggests, per employee:
  • Absences: workdays with no attendance record, no approved leave, and that are not holidays.
  • Overtime: hours worked above the day’s workday.
  • Breakdown by category and suggested amount: regular and overtime hours, daytime and nighttime, on a normal day, rest day, or holiday, valued according to the labor rules.
The manager decides what to apply. See Payroll. If the employee has an assigned schedule, each day’s workday comes from their schedule. If not, and the company has no labor rules of its own, the country’s default workday is used; for example, in El Salvador:
Employees who have no attendance record at all in the period do not receive a deduction suggestion, because it is assumed that they do not clock in.
