The Accounts Receivable (AR) module shows all credit sales pending collection, classified by status and due date.

Module indicators

Current

Accounts within the payment term agreed with the customer.

Overdue

Accounts that passed the due date without being collected.
The progress bar shows the percentage already collected vs. the total pending.

View grouped by customer

The main screen groups accounts by customer. Each row shows the number of invoices, the total pending, the overdue amount, and the longest delay. Customers with the largest balance appear first. Use the arrow on the left to expand a customer and see only their pending invoices; from there you can view the detail and record payments. The filters (customer, status, document type, and cutoff date) still apply.

Reminder of pending invoices

Each customer who has at least one financial contact with an email shows the Send reminder button (envelope icon).
1

Click the customer's envelope button

2

Choose the template

A preview is shown with the recipients, the subject, and the body of the email.
3

Send

The email is sent to all of the customer’s financial contacts and includes the detail of pending invoices, the total, and the time to due date of each one (current, or overdue with its days).

Email templates

The Reminder templates button in the header (or Manage templates within the sending flow) lets you create, edit, and delete custom templates. You can mark one as default; if there are no templates, a system one is used. Variables available in the subject and the message:
If the template does not include {{invoices_table}}, the invoice detail is added at the end of the email. Customer replies arrive at the branch’s email.

Manage overdue collections

1

Go to Accounts Receivable

2

Filter by Overdue status to see the accounts past due

3

Identify the customers with the largest overdue balance

4

Contact the customer to arrange payment

5

When you receive the payment, record it from the detail of the corresponding sale

Record collections

  • One invoice: from the sale detail, Record payment.
  • Several invoices: Payment to several invoices button, select the invoices and Apply payments.
In both cases: When you reverse a collection that went into a petty cash fund, an adjustment is recorded that deducts the amount from its balance.

Foreign currency sales

Accounts Receivable balances are always kept in the company’s base currency. When a sale was issued in another currency (see Multi-currency), the document amount in its currency is also shown, along with the rate used and the balance in that currency:
  • In the list rows (total and balance).
  • When recording a payment on the sale.
  • In the sale’s payment history.
The totals cards, summaries, and PDF/Excel reports remain in the base currency.
