The Fixed Assets module tracks the company’s durable goods (equipment, vehicles, furniture, machinery) and automatically calculates periodic depreciation.

Register a fixed asset

1

Go to Accounting → Fixed Assets → New Asset

2

Identification data

Description, brand, model, serial number and status (In use / In storage / Written off).
3

Financial data

  • Acquisition date and acquisition amount.
  • Residual value — estimated value at the end of its useful life.
  • Useful life in years — determines the depreciation rate.
  • Depreciation start date (by default the same as the acquisition date).
  • Mark whether it is depreciable (land, for example, is not depreciated).
4

Accounting accounts (required)

Three accounts from the chart of accounts are required:
  • Asset account — where the asset is recorded (e.g., Furniture and Equipment).
  • Depreciation expense — where depreciation is charged (e.g., Depreciation for the Period).
  • Accumulated depreciation — where it accumulates (e.g., Accumulated Depreciation - Equipment).
5

Supplier and invoice (optional)

Link the supplier and the purchase expense for full traceability.
6

Depreciation calculation

The system uses the straight-line method:
The asset list includes a summary with the number of assets, those in use, the book value and the monthly depreciation of the loaded page.

Process depreciation for the period

1

Go to Accounting → Fixed Assets → Process Depreciation

2

Review the list of assets to depreciate and the calculated amounts

3

Confirm the processing

The system automatically generates the depreciation journal entries for all active, depreciable assets.
4

The entries appear in the Accounting Journal as processed entries

Depreciation is only processed once per period per asset. The depreciation history is available from each asset’s detail.

See which assets the depreciation affected

When the process finishes, the confirmation message lists each depreciated asset with its installment and its resulting book value. You can check it again later by opening the depreciation entry in Accounting → Journal Entries: the Depreciated assets card shows code, asset, period, installment and book value.
