In Guatemala FileXpress issues documents under the FEL (Factura Electrónica en Línea, online electronic invoice) regime of the SAT. FileXpress takes care of certifying and transmitting each document to the SAT at the moment you save the sale, and the SAT answers with the document’s series, number, and authorization number.
This page describes what changes for Guatemala branches. Each branch uses the rules of its country: document types, taxes, payment methods, and books come from the active branch’s country.

Summary

Register your company’s signature

To issue in Guatemala, the company must have its electronic invoicing signature registered. To register it, write to soporte@filexpress.app. You must also set your company’s SAT regime in Special Settings (SAT Regime field): The SAT decides from the NIT whether the document is an Invoice or its small-taxpayer version, and whether it is a Factura Cambiaria or its small-taxpayer version: the regime you configure only blocks in advance the documents that are exclusive to the general regime.

Document types

The Invoice, Credit Note, and Debit Note work in sales and purchases; the rest, in sales only. Permissions by type are configured per user: see Users.

Data specific to each document

When you choose the document, the New sale form asks for this additional data:

Rules by document type

These rules are validated before transmitting: an invalid document fails with a clear message and does not consume numbering.

How a document is issued

1

You record the sale

In New sale you choose the document, the customer, the products, the type-specific data, and the payment method.
2

FileXpress certifies with the SAT

FileXpress builds the document, certifies it, and transmits it to the SAT.
3

You receive the certified document

The SAT assigns the series, the number, and the authorization number, and the sale is left as processed. You can download the PDF and the certified files.
If the SAT rejects the document or does not respond, only the error is shown: in Guatemala the sale is not saved as a draft. Fix it and issue again.

Numbering

  • The SAT identifies the document by the series, number, and authorization number assigned when it is certified. There is no control number with establishment and point of sale as in El Salvador.
  • The branch’s establishment code is the number the SAT has registered for each establishment of your NIT (if it is not a valid number, 1 is used).
  • The point of sale is used inside FileXpress to separate cash registers and shifts.
  • Internally FileXpress keeps a provisional sequence per document type and year; the legal number is the SAT’s.
See Points of sale.

Taxes

The branch option End-consumer invoice prices include tax applies to the Invoice (FACT). See Settings and Product taxes.

Payment methods

When collecting in cash, the Invoice, the Factura Cambiaria, and the Advance Receipt ask for the payment method. The collection buttons are Credit and Pay now. The payment methods of a Guatemala branch are: Cash (Efectivo), Debit Card (Tarjeta de Débito), Credit Card (Tarjeta de Crédito), Check (Cheque), Bank transfer (Transferencia bancaria) and Bank deposit (Depósito bancario).

Customers and suppliers

The customer types are: Final consumer, Individual, and Legal entity.

Cancellation

Cancellation in Guatemala is simple: the form asks only for the reason (free text). There is no replacement document and no requester data.
1

In the sales list, open the actions menu and choose Invalidate DTE

2

Write the reason

If you leave it empty, “Anulación solicitada” (cancellation requested) is sent.
3

Confirm

FileXpress cancels the document with the SAT using its authorization number. The sale moves to Invalidated and its inventory is reverted.
FileXpress does not impose its own deadline for cancelling: if the SAT rejects the cancellation, you will see its message. Check the current deadlines with your accountant.

Tax books and reports

The books are monthly and are downloaded in PDF or Excel (no CSV). Cancelled documents appear with Cancelled status and no amounts, and credit notes subtract.
The book columns have not yet been validated against an official SAT specification. Review them with your accountant before using them to file. See VAT Books.

Contingency and no-transmit mode

  • There is no contingency event in Guatemala: certification is done online.
  • Register without transmitting is not available (El Salvador only).
  • If the company has electronic invoicing disabled, there is no certified document: the PDF comes from a local template with the saved data, and the JSON and XML are a simple conversion, not certified by the SAT.

POS, inventory, and printing

  • In the point of sale only the Invoice (FACT) is issued.
  • When a document is cancelled, the sale’s inventory is reverted.
  • Certified sales download the PDF and the files certified by the SAT.
  • The Transmissions tab of the sale detail keeps every call to the SAT, successful or failed (administrators see it). See Traceability.

Things to keep in mind

  • Guatemala does not save drafts on transmission errors, and has no contingency or record-without-transmitting.
  • Withholdings and special taxes are not supported.
  • Migration to DTE v2 and DTE events belong to El Salvador and do not apply here.
