# Suppliers

> Supplier directory with tax data and purchase history

The supplier catalog groups all the people or companies you buy from. A supplier must be registered before you can record expenses in its name.

## Create a supplier

**1. Go to Suppliers → New Supplier**

**2. Fill in the details**

Legal name, tax identification number, address, phone and email. In countries without a loaded catalog of departments and municipalities (for example, the United States), the **state** and **city** are entered as free text.

**3. Contacts**

In the **Contacts** tab you register the supplier's contact people: **financial**, **technical** and **administrative**. Each contact has a name (required), position, email and phone, and you can add several per type.

**4. Save**

## Supplier detail

From each supplier's profile (**View detail** in the list, the global search and the supplier link inside a purchase open the dedicated view) you can check its contacts, the purchase history and the balances pending payment.

## Import and export with Excel

**Export** downloads the supplier list in Excel. **Import** loads suppliers in bulk:

**1. Click Import and download the template**

**2. Fill in one row per supplier**

* **Required:** Name, Address, Country, Department, Municipality, Phone, Email, Supplier Type.
* **Optional:** Legal Name, Document Type, Document Number, NRC, NIT, Business Activity.

**3. Upload the file and review the preview**

Each row shows whether it will be **created** or **updated** and any errors found.

**4. Confirm the import**

Only valid rows are imported. At the end, a summary of created, updated and errored rows is shown.

> [!NOTE]
>
> Country, department and municipality must exist in the system (they are matched by approximate name). If the document number already exists in the branch, the supplier is updated instead of duplicated.
