# Quotations

> Create and manage sales proposals with an expiration date

Quotations are formal sales proposals sent to the customer before the transaction is confirmed. They have an expiration date and can be converted directly into a sale.

## Quotation statuses

| Status | Description |
| - | - |
| **Draft** | Being prepared, not visible to the customer. |
| **Sent** | Sent to the customer by email. |
| **Approved** | The customer confirmed the offer. Ready to convert into a sale. |
| **Rejected** | The customer rejected the proposal. |
| **Expired** | The validity date passed without a response. |

## Create and send a quotation

**1. Go to Quotations → New Quotation**

**2. Select the customer and set the expiration date**

**3. Add products with quantities, prices and discounts**

**4. Write terms, conditions and notes if applicable**

**5. Use Preview to review the PDF before sending**

**6. Save as Draft or click Send to email it**

## Foreign-currency quotations

If the company has foreign currencies enabled, the quotation form shows the **Document currency** selector with its exchange rate (the one in effect on the quotation date or a custom one). The quotation amounts stay in the chosen currency and are not converted afterward. When you edit without changing the currency, the original currency and rate are kept. See [Multi-currency](https://docs.filexpress.app/en/docs/sistema/multi-moneda.md).

## Convert a quotation into a sale

**1. Open the approved quotation**

**2. Click Convert to Sale**

The system creates a new sale with all the quotation's data. If the quotation was in a foreign currency, the sale keeps that currency and its rate.

**3. Complete the payment details on the generated sale and save**

## Other available actions

* **Duplicate** — reuse a previous quotation as a base.
* **Extend expiration** — extend the validity if the customer needs more time.
* **Archive** — hide inactive quotations without deleting them.
* **Internal comments** — add notes about the negotiation.
* **Export** — download the list as Excel or PDF.

## Analytics

The summary on the quotations screen shows, in one row: **today's total**, quotations **sent**, **accepted** and the **conversion rate** to a sale.
