# FileXpress in Guatemala

> How FEL electronic invoicing, documents, VAT (IVA), cancellation, and books work for Guatemala branches

In Guatemala FileXpress issues documents under the **FEL (Factura Electrónica en Línea, online electronic invoice)** regime of the **SAT**. FileXpress takes care of **certifying and transmitting** each document to the SAT at the moment you save the sale, and the SAT answers with the document's **series, number, and authorization number**.

> [!NOTE]
>
> This page describes what changes for **Guatemala branches**. Each branch uses the rules of **its country**: document types, taxes, payment methods, and books come from the active branch's country.

## Summary

| Topic | In Guatemala |
| - | - |
| **Currency** | Quetzal (GTQ). The FEL document is always issued in GTQ. |
| **Time zone** | `America/Guatemala`. |
| **Tax authority** | Superintendencia de Administración Tributaria (SAT). |
| **Certification** | Performed by FileXpress with the SAT; the response is immediate, in the same operation. |
| **Main tax** | VAT 12%. |
| **Cancellation** | Cancelled with the SAT by giving only the **reason**. |
| **Contingency** | There is no contingency event: if the SAT does not respond, the error is shown. |
| **Record without transmitting** | Not available. |

## Register your company's signature

To issue in Guatemala, the company must have its electronic invoicing signature registered. To register it, write to [soporte@filexpress.app](mailto:soporte@filexpress.app).

You must also set your company's **SAT regime** in **Special Settings** (**SAT Regime** field):

| Regime | What changes |
| - | - |
| **General regime** | You can issue all document types. |
| **Small taxpayer (Pequeño contribuyente)** | You cannot issue Credit Notes, Debit Notes, or Advance Receipts. |

The SAT decides from the NIT whether the document is an **Invoice** or its small-taxpayer version, and whether it is a **Factura Cambiaria** or its small-taxpayer version: the regime you configure only blocks in advance the documents that are exclusive to the general regime.

## Document types

| Document | Code | When to use it |
| - | - | - |
| **Invoice (Factura)** | `FACT` (01) | Normal sale of goods or services. It is the only document available in the point of sale. |
| **Factura Cambiaria (bill-of-exchange invoice)** | `FCAM` (02) | Credit sale with **periods**, initial payment, and due date. |
| **Nota de Abono (credit allowance note)** | `NABN` (03) | Document without taxes issued for an **inventory markdown** or an **intermediary seller**. |
| **Credit Note (Nota de Crédito)** | `NCRE` (04) | Reduces an invoice already issued (returns, discounts). |
| **Debit Note (Nota de Débito)** | `NDEB` (05) | Increases an invoice already issued. |
| **Nota de Envío (shipping note)** | `NEV` (06) | Transfer of goods. Accepts **goods** only, not services. |
| **Recibo de Anticipo (advance receipt)** | `RANT` (07) | Advance payment. Accepts **services** only, not goods. |

The Invoice, Credit Note, and Debit Note work in sales and purchases; the rest, in sales only. Permissions by type are configured per user: see [Users](https://docs.filexpress.app/en/docs/sistema/usuarios.md#document-permissions).

### Data specific to each document

When you choose the document, the [New sale](https://docs.filexpress.app/en/docs/ventas/nueva-venta.md) form asks for this additional data:

> [tab] Factura Cambiaria (FCAM)
>
> | Field | Rule |
> | - | - |
> | **Periods** | Required. At least 1. |
> | **Initial payment** | Optional. It cannot be negative. |
> | **Due date** | Required, in yyyy-mm-dd format and not earlier than the issue date. |

> [tab] Nota de Abono (NABN)
>
> **Note type**: *Inventory markdown* or *Intermediary seller*. The document carries no taxes: the price is sent as is.

> [tab] Credit and Debit Notes
>
> * **Related document**: the **valid** invoice (`FACT`) or factura cambiaria (`FCAM`) of the same branch that is being adjusted. A voided document cannot be adjusted.
> * **Reason for the adjustment**: text of up to 200 characters.

> [tab] Nota de Envío (NEV)
>
> **Transfer** data, all required: carrier (NIT or CUI), carrier name, license plate, origin address, destination address, consignee (NIT or CUI), consignee name, and reason for the transfer. The carrier's document type is NIT by default.

### Rules by document type

| Rule | Documents |
| - | - |
| **Do not accept final consumer**: the customer must have a NIT or DPI. | `NCRE`, `NDEB`, `NEV`, `RANT` |
| **General regime only.** | `NCRE`, `NDEB`, `RANT` |
| **Goods only.** | `NEV` |
| **Services only.** | `RANT` |
| **No taxes.** | `NABN` |
| The document must have at least one line with a quantity greater than zero. | All |

These rules are validated **before** transmitting: an invalid document fails with a clear message and does not consume numbering.

## How a document is issued

**1. You record the sale**

In [New sale](https://docs.filexpress.app/en/docs/ventas/nueva-venta.md) you choose the document, the customer, the products, the type-specific data, and the payment method.

**2. FileXpress certifies with the SAT**

FileXpress builds the document, certifies it, and transmits it to the SAT.

**3. You receive the certified document**

The SAT assigns the **series**, the **number**, and the **authorization number**, and the sale is left as processed. You can download the PDF and the certified files.

If the SAT rejects the document or does not respond, only the error is shown: **in Guatemala the sale is not saved as a draft**. Fix it and issue again.

## Numbering

* The SAT identifies the document by the **series, number, and authorization number** assigned when it is certified. There is no control number with establishment and point of sale as in El Salvador.
* The branch's **establishment code** is the number the SAT has registered for each establishment of your NIT (if it is not a valid number, `1` is used).
* The **point of sale** is used inside FileXpress to separate cash registers and shifts.
* Internally FileXpress keeps a provisional sequence per document type and year; the legal number is the SAT's.

See [Points of sale](https://docs.filexpress.app/en/docs/caja/puntos-de-venta.md).

## Taxes

| Concept | How it works |
| - | - |
| **VAT** | 12%, code `20`. It is the only tax in Guatemala's catalog. |
| **Prices with VAT** | Document prices are transmitted **with VAT included**, except the Nota de Abono, which carries no taxes. |
| **Exempt and not subject** | Exempt or not-subject products carry no VAT. |
| **Withholdings and special taxes** | Guatemala's catalog only includes VAT: there are no withholdings or special taxes. |

The branch option **End-consumer invoice prices include tax** applies to the **Invoice (FACT)**. See [Settings](https://docs.filexpress.app/en/docs/sistema/configuracion.md) and [Product taxes](https://docs.filexpress.app/en/docs/productos/impuestos.md).

## Payment methods

When collecting in cash, the **Invoice**, the **Factura Cambiaria**, and the **Advance Receipt** ask for the **payment method**. The collection buttons are **Credit** and **Pay now**. The payment methods of a Guatemala branch are: **Cash** (*Efectivo*), **Debit Card** (*Tarjeta de Débito*), **Credit Card** (*Tarjeta de Crédito*), **Check** (*Cheque*), **Bank transfer** (*Transferencia bancaria*) and **Bank deposit** (*Depósito bancario*).

## Customers and suppliers

| Data | Detail |
| - | - |
| **Identity document** | NIT (01), DPI/CUI (02), Passport (03), or Other (04). |
| **NIT** | Digits plus a check digit (0-9 or K), with or without a hyphen; for example `5487981-K`. `CF` is also accepted. |
| **DPI** | 13 digits. When the customer is identified by DPI, the invoice carries the CUI instead of the NIT. |
| **Final consumer** | Without a NIT, the document is issued to **CF** (consumidor final, final consumer), only in the documents that accept it. |
| **Consult SAT** | In customers and suppliers, the **Consult SAT** button fetches the registered name from the NIT or DPI. |
| **Fields that do not apply** | NRC, economic activity, and company size start hidden. |
| **Department and municipality** | Typed as **free text** (no catalog is loaded). |
| **Required fields** | Almost nothing is required by default (address, department, municipality, and phone are optional). You can adjust this in **Settings → Fields by country**. |

The customer types are: **Final consumer**, **Individual**, and **Legal entity**.

## Cancellation

Cancellation in Guatemala is simple: the form asks only for the **reason** (free text). There is no replacement document and no requester data.

**1. In the sales list, open the actions menu and choose Invalidate DTE**

**2. Write the reason**

If you leave it empty, "Anulación solicitada" (cancellation requested) is sent.

**3. Confirm**

FileXpress cancels the document with the SAT using its authorization number. The sale moves to **Invalidated** and its inventory is reverted.

> [!WARNING]
>
> FileXpress does not impose its own deadline for cancelling: if the SAT rejects the cancellation, you will see its message. Check the current deadlines with your accountant.

## Tax books and reports

The books are **monthly** and are downloaded in **PDF** or **Excel** (no CSV). Cancelled documents appear with **Cancelled** status and no amounts, and credit notes subtract.

| Book | Content |
| - | - |
| **Sales Book** | `FACT`, `FCAM`, `NCRE` (subtracts), and `NDEB` of the month (output VAT). |
| **Purchases Book** | Purchases and services acquired in the month (input VAT). |

> [!NOTE]
>
> The book columns have not yet been validated against an official SAT specification. Review them with your accountant before using them to file. See [VAT Books](https://docs.filexpress.app/en/docs/ventas/libros-iva.md).

## Contingency and no-transmit mode

* There is no contingency event in Guatemala: certification is done online.
* **Register without transmitting** is not available (El Salvador only).
* If the company has electronic invoicing **disabled**, there is no certified document: the **PDF** comes from a local template with the saved data, and the **JSON** and **XML** are a simple conversion, **not certified** by the SAT.

## POS, inventory, and printing

* In the [point of sale](https://docs.filexpress.app/en/docs/caja/punto-de-venta.md) only the **Invoice (FACT)** is issued.
* When a document is cancelled, the sale's **inventory is reverted**.
* Certified sales download the **PDF** and the files **certified by the SAT**.
* The **Transmissions** tab of the sale detail keeps every call to the SAT, successful or failed (administrators see it). See [Traceability](https://docs.filexpress.app/en/docs/gestion/trazabilidad.md).

## Things to keep in mind

* Guatemala **does not save drafts on transmission errors**, and has no contingency or record-without-transmitting.
* Withholdings and special taxes are not supported.
* Migration to DTE v2 and DTE events belong to El Salvador and do not apply here.
